What Workday does not manage is what those employees do in the field. What Workday Covers — and Where the Field Execution Gap Is

Workday HCM is built around the employee lifecycle: hiring, onboarding, job changes, time tracking, payroll, and offboarding. It maintains organisational structures, manages absence and scheduling, and connects to benefits and compliance systems. For organisations with large field workforces, Workday is typically the authoritative source for who works in a role, what their rate is, and how their hours should be processed.

Where Workday stops is at the operational layer of what those workers do. Workday Time Tracking captures time in and time out. It does not capture where a driver was at 14:32, which delivery stops were completed, which required a second attempt, or what proof of delivery was collected at each one. That operational data lives in field execution systems — and without a connection between those systems and Workday, the data never makes it into the HR or financial record cleanly.

For organisations running Workday alongside a delivery operation, the manual handoff between field execution and Workday creates three distinct problems: payroll inaccuracies from incorrectly recorded delivery hours and mileage; financial management gaps from delivery costs that are not allocated to the correct cost centre or project; and compliance exposure from incomplete records of what drivers did, when, and where.

How the Integration Works: Data Flowing Each Way

The Workday and SuiteFleet integration is bidirectional. Data flows from Workday into SuiteFleet to build and maintain the driver roster, and data flows from SuiteFleet back into Workday to close the operational record and feed payroll and financial systems.

From Workday to SuiteFleet:

  • Driver roster sync: Worker records from Workday — employee IDs, names, job profiles, organisational unit assignments, and cost centre codes — sync to SuiteFleet to maintain a current driver roster without manual management. New hires are added automatically; leavers are deactivated.
  • Organisational structure: Workday’s organisational hierarchy maps to SuiteFleet’s depot and team structure, so delivery operations reflect the same cost centres, business units, and reporting lines as Workday’s HR and financial data.
  • Availability and scheduling: Workday time-off and absence data can inform SuiteFleet’s driver availability, preventing dispatch assignment to drivers who are on leave or unavailable.

From SuiteFleet to Workday:

  • Delivery hours and mileage: Completed delivery route data — total hours worked, stops completed, mileage driven — writes back to Workday for payroll processing and time entry reconciliation. This eliminates the manual step of drivers or supervisors entering delivery hours into Workday.
  • Stop-level proof of delivery: Photo, digital signature, OTP, and GPS timestamp captured at each stop are retained in SuiteFleet and available for export to Workday's document management or expense systems on completion.
  • Cost centre allocation: Delivery costs — driver hours, fuel, vehicle usage — are allocated to the Workday cost centre or project code associated with each delivery, enabling accurate financial reporting without manual expense coding.
  • Exception records: Failed deliveries, reattempts, and deviation events are recorded in SuiteFleet with GPS timestamps and can be surfaced in Workday financial or compliance reporting to support audit and dispute resolution.

Technical Integration Details

  • API: Connects to Workday through both the Workday REST API and Workday Web Services (SOAP) API, depending on the data type and operation. REST is used for worker data retrieval and status updates; SOAP is used for time entry, payroll input, and financial data operations where REST endpoints are not yet available.
  • Authentication: OAuth 2.0 via Workday’s API Client framework. API Client registered in the Workday tenant with scoped functional area access — Human Capital Management, Time Tracking, Financial Management — with non-expiring refresh tokens for uninterrupted integration.
  • Worker sync: Workday Get_Workers API retrieves employee records on a scheduled or event-triggered basis. Worker ID, name, organisational unit, cost centre, job profile, and employment status mapped to SuiteFleet driver profiles.
  • Time and activity writeback: Delivery completion data written to Workday Time Tracking using the Import_Time_Blocks or equivalent SOAP service, creating time entries against the correct worker and cost centre for payroll processing.
  • Financial data: Delivery cost data — hours, mileage, allowances — written to Workday Financial Management via expense report creation or cost allocation records, coded to the relevant cost centre and project.
  • RaaS (Report as a Service): For organisations with complex reporting requirements, Workday RaaS endpoints can be configured to expose custom worker and organisational data to SuiteFleet without requiring API endpoint access to every underlying data object.
  • Workday Studio: For organisations with complex integration requirements, Workday Studio integrations can be built to manage the full data flow between Workday and SuiteFleet, including transformation logic and error handling within the Workday integration framework.
  • Deployment compatibility: Compatible with all Workday cloud tenant environments. Integration uses standard Workday API infrastructure — no on-premise components required.

How It Works

  1. Worker records sync from Workday to SuiteFleet on a scheduled basis, maintaining an accurate driver roster with cost centre and organisational unit codes.
  2. Delivery tasks are created in SuiteFleet — from a connected ERP, order management system, or manual entry — and assigned to drivers from the Workday-synced roster.
  3. Routes are optimised and dispatched to drivers via the SuiteFleet mobile app. Drivers execute deliveries, capturing proof of delivery at each stop.
  4. On route completion, SuiteFleet calculates total hours worked, stops completed, and mileage driven for each driver.
  5. Delivery activity data writes back to Workday — time entries to Time Tracking, costs to Financial Management — coded to the correct worker, cost centre, and project, without manual entry.
